The TurtleTales corporate gifting order process, end to end
Our operational process for 500 to 2,500 unit corporate Diwali gifting orders runs through six sequential phases. Each phase has defined deliverables, defined timeline expectations, and defined buyer-side and supplier-side responsibilities. The full end-to-end process is calibrated to complete within the 60-day window covered in the broader Medium playbook.
Phase 1 — Initial enquiry and specification (Days 60-55)
Buyer initiates contact via corporate gifting page enquiry form or direct email to carbonkarma@turtletales.eco. Initial enquiry should include: recipient count and categories (employees, clients, board members), gift value band (per-unit target), personalisation requirements (corporate logo only, employee names, dual personalisation), delivery location(s) and delivery date target, and BRSR documentation requirement (yes/no). TurtleTales responds within one to three working days with initial pricing, recommended product configuration, sample production timeline, and enquiry-to-delivery timeline calibrated to the specific order specifications. Buyer reviews and confirms move to Phase 2 or requests specification adjustments.
Phase 2 — Sample production and approval (Days 55-40)
Buyer confirms sample order (typically two to three units) with the finalised personalisation, colourway, and packaging specification. Sample production takes three to five working days at our Bengaluru workshop. Sample dispatch takes one to two working days to major Indian cities. Buyer receives samples for physical evaluation — verify personalisation quality, colourway match, packaging fit, and overall gift presentation. Sample approval or revision request within 5 working days is the ideal buyer discipline; longer sample approval windows compress the downstream production time.
Phase 3 — Purchase order and production kickoff (Days 40-30)
Buyer places the purchase order with the finalised quantity and specifications. Payment terms: 50% advance on PO placement, 50% on delivery for orders below 1,500 units; 30% advance on PO, 40% on production completion, 30% on delivery for orders 1,500 units and above. GST and BRSR documentation are separately itemised on the invoice for buyer accounting purposes. Production run kicks off within one to two working days of PO placement and advance payment receipt. Full production of 500 to 2,500 units typically takes seven to twelve working days depending on volume and personalisation complexity.
Phase 4 — Production, quality control, and mid-production signal (Days 30-15)
Primary production run on our Bengaluru workshop floor. We provide a mid-production quality signal to the buyer at approximately the fifty-percent-complete mark — five to ten randomly selected units delivered or dispatched for buyer visual confirmation that production is meeting the sample-approved specification. Buyer response within two working days on the mid-production signal keeps the production timeline on track. Final quality control on the full quantity happens as production completes; any non-conforming units are set aside and either replaced or refunded.
Phase 5 — Packaging, BRSR documentation, and logistics preparation (Days 15-5)
Individual unit packaging assembly with corporate collateral if provided. For programmes with individual name personalisation, per-recipient matching and packaging labelling. BRSR Scope 3 documentation package prepared — includes material composition breakdown, per-unit emissions calculation with methodology, reference-material comparison data (typically versus ceramic at approximately 0.68 kg CO2e per unit versus our approximately 0.26 to 0.30 kg CO2e per unit cradle-to-gate), and recycling pathway documentation. Logistics coordination with buyer for single-location or multi-location delivery. Third-party home-delivery logistics available on request for individual-recipient home delivery programmes.
Phase 6 — Delivery and post-delivery support (Days 5-0)
Delivery to specified locations completes by Day 3 to Day 5 for single-location orders and Day 5 to Day 7 for multi-location or home-delivery orders. Day 2 to Day 0 is buffer for any last-minute issues — damaged units in transit, missed deliveries, additional units required for late-added recipients. Post-delivery support includes replacement units for any damaged-in-transit reports within seven days of delivery.
What is included in the TurtleTales bulk order package
Every 500-plus unit corporate order at TurtleTales includes the following deliverables as standard, not as optional add-ons.
Personalisation — corporate logo on lid or mug (single-personalisation), employee names on mugs (individual personalisation), or dual personalisation (corporate logo on lid plus employee names on mugs). Volume-based per-unit personalisation pricing.
Packaging — Kraft paper gift boxes with soft tissue insert, gift tag, and optional corporate collateral insert. Packaging is designed for premium unboxing without being wasteful — minimal materials, high-quality feel.
BRSR Scope 3 documentation package — structured document set with material composition, per-unit emissions calculation methodology, reference-material comparison, and recycling pathway. Ready to include in your FY25-26 BRSR filing narrative construction.
Food-safety documentation — IS 9845 test report at 100°C food simulant conditions, IS 10910 binder compliance certificate. Provided as part of the order documentation, not held back for additional request.
Post-delivery replacement policy — damaged-in-transit units replaced within 7 days of report at no additional cost. Post-delivery quality issues addressed within 14 days of report.
Volume band pricing structure
Volume-based pricing operates in four bands. We do not publish per-unit prices on the public website because bulk pricing depends on specific personalisation requirements, packaging complexity, delivery model, and BRSR documentation depth — all of which vary by programme. Pricing conversation happens during the initial enquiry response.
Band 1 (100-499 units) — smaller programmes typically for team gifting, board gifting, or specific department programmes. Pricing per unit at the top of our published D2C range with volume adjustment.
Band 2 (500-999 units) — the entry-level bulk band, common for mid-size corporate programmes. Meaningful per-unit pricing improvement versus Band 1 due to production efficiencies.
Band 3 (1,000-4,999 units) — the sweet-spot bulk range where the production economics and the personalisation workflows both operate at their most efficient scale. Best per-unit pricing.
Band 4 (5,000+ units) — large-scale corporate programmes. Pricing on request with capacity confirmation. For 2026 Diwali delivery, this band requires the compressed-timeline caveats covered in our Medium playbook piece.
